Volunteering for TAS
TAS runs through the volunteer efforts of its members. All executive board positions, as well as organizing and running the annual meeting, is done through the dedication and hard work of volunteers. If you are interested in helping out, we encourage you to volunteer your time and effort in this incredibly rewarding experience. Below is a brief description of the various positions and their responsibilities. Please note - the Immediate Past President/President/President Elect/Vice President is a four year commitment, as people rotate through those positions. Immediate Past President
The Immediate Past-President is a member of the Executive Committee, serves as the Chairperson of both the Elections and Publications Committees, and performs any other duties designated by the President of the Academy.
President The President of the Texas Academy of Science serves as the Chief Executive Officer, acting as Chairperson of both the Board of Directors and the Executive Committee, making committee and working group appointments, and filling any vacancies between Annual Meetings in accordance with the Constitution and Bylaws; they also serve as an ex-officio member of all committees except the Elections Committee, oversee the implementation of policies approved by the Board, facilitate communication and collaboration between the Academy’s sections and affiliated organizations, and perform any other duties necessary to advance the Academy's mission and operations.
President Elect The President-Elect serves as the Vice-Chairperson of the Board of Directors and the Executive Committee, chairs the program for the next Annual Meeting, organizes and publishes the Annual Meeting Program, and chairs the Sections Council, while also performing any other duties designated by the President of the Academy.
Vice President The Vice President is a member of the Executive Committee who is elected for a one-year term. During their tenure as vice president, they are the Chairperson of the Honors and Awards Committee. This committee is tasked with recommending new Fellows of the Academy, the Distinguished Texas Scientist, and the Outstanding Texas Educator awards. They may also recommend awards for members of the academy who have performed outstanding service. Additionally, the Vice President performs other roles that are designated by the President of the Academy. At the conclusion of that term, they succeed the office of President-Elect.
Treasurer
Responsible for overseeing financial activity for TAS and tracking expenses. This includes maintaining a general ledger, preparing reports as needed, overseeing the budget, writing checks, depositing funds, and other activities as designated related to finances. This is a critical position to ensure that the Texas Academy of Science remains financially solvent.
Collegiate Academy Counselor/Co-Counselor Chair, Board of Development Student Representative
The Non-Academic Director familiarize themselves with the Academy's structure and function, attend Board meetings,
Executive Secretary The Executive Secretary maintains the master copy of the membership list, provides mailing lists for distributing the Journal, Newsletter, and Call for Papers, prepares and distributes annual and second dues notices, maintains a supply of back issues of the Journal for purchase, and performs any other duties designated by the President of the Academy.
Corresponding Secretary The Secretary of the Board of Directors and Executive Committee is responsible for keeping and distributing the minutes of meetings, ensuring that all records are accurately documented. As the custodian of the Academy’s files, the Secretary also manages its records and is tasked with remanding materials older than five years to archives. The role includes preparing and maintaining an information packet for newly elected or appointed officers and preparing agendas and materials for meetings. Additionally, the Secretary serves as a member of the Publications Committee and performs other duties as designated by the President of the Academy. Coordinator of Information Technology The position of Coordinator of Information Technology is responsible for overseeing and maintaining all the computer and technology
needs of the Academy. This includes, but is not limited to, maintaining the website, overseeing the abstract submission/review process, facilitating communication to members, and registration for the annual meeting (both before and during the meeting). You also will assist with other technology/website tasks as needed. This is a voting position on the Board. Graduate Academy Counselor The position of Graduate Academy Counselor has two primary responsibilities. The first of these is to organize and manage the Graduate Student Oral Paper Competition at the annual meeting. The second is to organize and manage the Student Research Grant competition, whose winners are announced at the Annual Meeting. Additional activities include but are not limited to advocating for graduate student programming and training, mentoring student directors, and other duties as needed. This is a non-voting position. Managing Editor of TJS AAAS Representative Academic Director The Academic Director is responsible for attending board meetings, assisting with the general overview and management of the Academy, and helping to participate in the meetings. In addition, the Academic Director may assist in recruiting both students and faculty to become Academy members, as well as presenting at or attending the Annual Meeting.
